CHS THEATRE BOOSTERS MEETING
MEETING MINUTES
January 15, 2013

Members present:  Krista Elhai, Catherine D’Emilio, JoJo Treadwell, Martha Elisa Santana, Andres Santana, Anne Ellwanger, Debbie Cumpston, Bridget Healy, Jeff Descombes, Lee Jones, Mike Mercado, Ana Ligorria-Tramp.

The meeting was called to order at 7:00 PM.  Welcome and introductions were made by Catherine D’Emilio.

The December meeting minutes were distributed and approved.

Jeff Descombes shared the Treasurer’s Report.  Our total assets are $8,536.37 with $7,952.39 total cash in hand.  Our leis have been pre-purchased for $2,305.00.  Our Profit and Loss report indicates a Gross Profit of $924.98 so far this year, since July 1st which begins the fiscal year.  This includes income from interest, Grad sales, Show sales and Vons escript donation.  It also includes costs of photo inventory and Grad inventory.  Our net income of $924.98 is a small amount down from last year.  We can recapture these sales later this year.  All of our shows are compressed into the last few months of the fiscal year, with several shows at once.  Expenses are down this year as we have not needed to buy materials.

Krista Elhai shared the Director’s Report:

-          There is no renovation update.  We will be cutting it close for Spelling Bee.  We expect an update in 24 hours.  Colors for the new theatre and wood have been chosen.  Wall colors and chairs have been ordered.

-          Chair sales – We currently have 65 left to sell.  Alumni still may not even know about this fundraiser.

-          Students are happily rehearsing:  The 25th Annual Putnam County Spelling Bee, You’re a Good Man Charlie Brown, The Women of Lockerbie, Medea, and The Drowsy Chaperone.  Lots of crew work is happening too.

-          CA State Thespian Festival is in March.

-          CETA festival is Saturday and kids will be auditioning for scholarships.

-          Monday March 4th we will be hosting a benefit with the cast of Wicked from Orange County.  EDTA is a National Benefit in which 2 leads from Wicked perform with local schools.  Krista is one of the producers of this project.  A thespian troupe is chosen to host the benefit and the money goes directly to scholarships for thespians.  Booster help will be needed in areas of publicity and helping to get the word out.  At Bridges Auditorium we provide the Tech and Upland High School will provide the Ushers.  This benefit helps to promote educational theatre.

-          We discussed putting a package together online this year or next which would include tickets to the benefit, 2 shows, a theatre T-shirt, etc.

-          March Grand Opening – We are still planning a March 30th Alumni Gala Grand Opening.  That Saturday will be a rehearsal in the morning.  A community open house will be scheduled from 1:00-4:30.  The thespians will give tours of the new theatre. At 7:00 PM a ticketed Alumni Gala will include performances from alumni of the last 50 years.

-          T-shirts – we will be ordering the same number as last year.

We had two Discussion Topics:

  1. Food Truck Fundraiser – presented by CHS Music Boosters and we were invited to have a “booth.”  Our students will instead earn thespian points for handing out fliers and answering questions about theatre renovation and upcoming shows.  Students only will participate, from 11:00-1:00 or 1:00-3:00.
  2. Spelling Bee Booster help – needed on March 7th to man the tables.
We discussed our last opportunities to advertise graduation leis to the senior class and their parents.

Our next meeting date is scheduled for March 19th at 7:00 PM.
